An effective way of communication

You start by introducing yourself and the subject matter which could be your company’s product and services, then ask them to share their thoughts and comment on it. By probing this question, it will encourage them to speak more freely and confidently. This is an effective way of getting one to become more open in speaking his/her ideas.

 Make sure your opinion does not seem judgmental, try not to make the listener feel compelled on your own point of view of the subject matter, instead create room for a discussion by asking them what they think after stating your opinion. Also avoid repeating what has been said, instead, paraphrase it to show the depth of your attentiveness and understanding. Your attitude toward them should be neutral, even if you agree or disagree with their point of view. It is important to show willingness to hear their opinion more.

Use verbal and non verbal gestures to encourage them to speak more. For example; constant nodding of head, probing, and paraphrasing of words will show that you are paying attention to what they are saying, thus provoking them to speak further. It will encourage them to be confident in themselves while stating their opinions having it in mind that their listener is very attentive to what they have to say. Make sure that your constant restatement of their point of view enables them to evaluate their feeling when is being expressed by someone else.

Even when you disagree with your listener’s opinion, your probing will make them feel identified as your questions for clarification will give them an open invitation to explain more on their ideas. By restating what they have said using your own words, their will know that their point of view or ideas were recognized. Thereby showing them how attentive you are by allowing them to explain their opinion further without imposing yours on theirs

Communication process should be enhanced more by using more of important ideas and facts to set up ways for more conversation. Being able to state your individual views, ideas and opinions without being evaluative and provocative is very important to keep in mind when communicating with people as this will show them that while you may not agree with them, their opinion is however valued.

In conclusion, effective communication should not be neglected in our day to day activities as it is what makes organization thrive when relating with respective clients and customers, thus, increase their customers’ retention booth. May I also say that any organization that does not employ such as part of their code of conduct is bound have little or no customer.
